Lynnhaven Ladies
Purpose & By-Laws

About the Organization

Lynnhaven Ladies was organized in 2004 by Norma Etter and Gerri Donaldson. Initially, they met with Deanna Ellis, Delores Mikronis, Nancy Moore, and Shirley Palazzo to form a social group in which the women of The Village of Lynnhaven could get to know each other. The club became popular immediately.


Statement of Purpose

The purpose of Lynnhaven Ladies is to generate a social atmosphere of conviviality and fun for the women who live in The Village of Lynnhaven; to make new neighbors feel welcome; to do helpful neighborly deeds; to promote goodwill and lasting friendships; and to sponsor philanthropic activities.


Council

The Lynnhaven Ladies Council includes the following officers:  President, Vice President, Secretary, Treasurer, Membership Chairperson, Program Co-Chairpersons, Hospitality Chairperson, Helping Hands Chairperson, 50/50 Chairperson, Webmaster and the immediate Past President.  The Council will meet once a month to plan the events and activities and to make business decisions for the club.  The Council will conduct activities in a relaxed, informal manner with majority vote determining all decisions.  All officers will have voting privileges.  In the event of a tie vote on any issue, the President will cast the deciding vote.


Meetings

Lynnhaven Ladies meetings will be held at Churchill Street Recreation Center on the second Thursday of the month with the exception of July and August, when the club does not meet.  The meetings will begin at 12:00 Noon and end at 2:00 p.m.  The Council will conduct its meeting immediately following the regular meeting at Churchill.  The President of Lynnhaven Ladies will, on an annual basis, reserve the Lindsay Paddock Room at Churchill for these meetings with the time of the reservation being from 12:00-2:00 p.m. for regular meetings and 2:00-3:50 p.m. for Council meetings.  Some events scheduled by the group will be conducted outside of Churchill, and for those events, the President will notify Laurel Manor Recreation Center and Churchill.


Qualifications for Membership

Membership in Lynnhaven Ladies will be limited to those ladies who receive their mail at the Lynnhaven postal station. The following exceptions will apply:

  1. Ladies who were originally members of Lynnhaven Ladies but then moved to another village will still be eligible to retain their membership as long as their dues remain current.  A lapse of dues disqualifies a person who moves to another village from continued membership in Lynnhaven Ladies.
     
  2. Club founders, Norma Etter, Gerri Donaldson, Shirley Palazzo and Deanna Ellis are designated as lifetime paid members.  Cindy South, who was instrumental in organizing Helping Hands is also a lifetime paid member.


Membership Dues & Guest Policy

Dues of $10 per year per member will be used to defray costs of some events and to help sponsor charitable organizations.  A badge will be made for each member.  Dues are payable in January and are based on the calendar year.  Dues must be paid before a member can sign up for a catered event or an outside event in which there is a limited number of seats, such as bus trips. 

Guests who are at least 16 years of age may attend meetings, events, and trips when accompanied by an adult only when these events are open to guests.  A fee of $2 will be charged at a regular meeting for each guest.

New members and guests will be recognized during the business meeting.


Helping Hands

Helping Hands was established by Cindy South.  It was incorporated into Lynnhaven Ladies with the goal of helping all women living in the Village of Lynnhaven in need of assistance during illness or life crises.  It has proven to be very successful and is appreciated by many people.  Guidelines were established because of liabilities Lynnhaven Ladies could encounter in providing help.  Lynnhaven Ladies cannot offer direct patient care, but can provide meals, run errands, and offer moral support.


Greeters

The Vice President or a designated club member will greet attendees at the door on meeting days to make everyone feel welcome. 


Cancellation Policy for Catered Events & Outside Trips

If a person has paid for an event and finds that she cannot attend, she will receive a refund if we have someone else to take her place, otherwise there will be no refund.


Election of Officers

In April of the final year of the officers’ term, the President will select members to serve on a Nominating Committee.  The Nominating Committee will meet in April to review open positions for the next two-year term.  The committee will be comprised of three members from the current Council and three members from the membership at large.  The committee will meet with a current membership list, the By-Laws and Council position descriptions to consider members for all the open positions.

Only members who reside in The Village of Lynnhaven full time will be eligible for the following Council positions: President, Vice President, Treasurer, Secretary, and Membership Chairperson.  Hospitality and Helping Hands will have three members with the chairperson being a full- time resident.  The Chairpersons of these two committees will sit on the Council and attend the meeting.  If the chairperson cannot attend a meeting, a member of her committee will attend in her place.  Program is a Co-chairperson position with both members serving on the Council with one member being a full-time resident.

If possible the Nominating Committee will present the slate of officers to the President and the Council for approval at the May meeting. The slate will be presented to the general membership at the September meeting and approved at the October meeting.  The new slate of officers will serve for two calendar years beginning January 1st.

Once the new officers have been approved, the Council will invite them to the November Council meeting.  This meeting of outgoing and incoming officers will facilitate an easier transition of duties for the new officers.
